Send a collection request

Send a collection request for items that another person can…

The free charity-collection request is for suitable reusable furniture and household items within the stated area around Stafford. Begin with an honest description of what you want to offer. Tell us the item type, dimensions and present condition, including any damage or missing part. The team needs to assess the actual goods before a collection is accepted. Submitting a request is the start of that review, not confirmation that every item listed can be collected.

Think about the item as it would be received by another person. A complete table and a table missing essential fittings are different offers, even if both look similar in a room photograph. Explain stains, tears, loose joints, repairs or other concerns clearly. Do not hide a defect because you hope the item can still be useful. Accurate information helps the review identify a realistic reuse possibility and reduces the chance of an unsuitable appointment.

Recipient requirements vary by item and organisation. For example, the British Heart Foundation's published acceptance guidance requires attached fire-safety labels on upholstered items. That is an example of a recipient's condition, not a claim that every collection goes to that charity. Include relevant labels and condition details in your photographs and ask what requirements apply to the actual proposed receiving arrangement.

Keep donation requests separate from waste-clearance requests. Broken, unsafe, heavily soiled or hazardous items are not made suitable for reuse by describing them as a charity collection. If an item cannot be accepted, ask about an appropriate separate arrangement rather than adding it to an accepted load. The free service applies to the agreed collection of suitable goods, with the accepted inventory confirmed before the appointment.

Photograph the complete item and the details that affect acceptance

Take current photographs showing the whole item, its condition and any relevant labels or separate components. For a set of chairs or several matching pieces, show the group and identify any item with a different condition. Include a close view of known damage rather than relying on a distant room image. The photographs should make the request easier to assess without requiring someone to infer what is hidden behind cushions or another piece of furniture.

Provide dimensions for larger pieces and explain whether they are assembled or already in components. If an item has been dismantled, say who did the work and whether instructions and fittings are complete. A recipient may need a usable assembled piece or a reliably complete set of parts. Do not dismantle furniture solely for the request before its condition, access and proposed presentation have been discussed.

For an appliance, describe its current condition and any known fault honestly. State whether it is connected, freestanding or integrated, and ask what preparation is required for an accepted collection. The service should not be assumed to include technical disconnection or certification of the appliance. Arrange the appropriate preparation with the responsible person and make sure any condition affecting acceptance is disclosed before an appointment is confirmed.

Submit only the information needed to identify the items and plan collection. Remove personal papers or belongings from the photographed furniture where practical, and avoid including unrelated private information in the request. Keep an item list with the photographs so the team can match descriptions to images. If you add another piece later, send its details for review instead of assuming acceptance of one item covers everything else in the room.

Describe the collection route and keep accepted goods ready

Give the collection address and explain the floor level, stairs, lifts and proposed loading position. Include the route from the item's room to the entrance and any tight turn or narrow passage. A reusable item still needs a feasible collection route. The review should consider access alongside condition, particularly where large furniture was assembled in the room or needs preparation before it can leave the property.

Confirm any building-manager instructions, lift reservations or shared-access arrangements. Tell us who can provide entry and answer questions on the day. If the property is being cleared or vacated, explain the deadline early and ask what timing can be offered. Do not treat a submitted request as a guaranteed appointment before the team has accepted the items and confirmed an arrangement.

Keep the accepted items separate from the main removal load or from other belongings staying in the property. Empty drawers and cupboards of personal possessions and identify accompanying parts that belong with the donation. If another household member will meet the team, give them the final accepted list. They should not need to remember which pieces were reviewed from an earlier conversation that they did not attend.

Report a change in condition, access or availability before collection. An item exposed to damage after photographs were taken may no longer match the accepted description. If you decide to keep something or offer it elsewhere, update the request so the appointment can be reviewed. Clear communication helps the service focus on the goods actually available and avoids adding unassessed items to compensate for a changed list.

Confirm what has been accepted and what happens if an item is…

Keep the collection confirmation and accepted inventory available to the person handing over the goods. Ask for any preparation or access requirement to be explained before the date. There is no charge for an accepted charity collection under the stated service, but a separate clearance, dismantling or other task should not be assumed included. If extra work is needed, request a defined proposal and decide on it before the appointment.

Where an item is not accepted, retain responsibility for arranging another suitable route. The team should not be expected to leave an unwanted object elsewhere or turn a declined donation into an unagreed waste collection. Ask what alternatives can be assessed and confirm the provider and scope separately. This keeps the accepted reuse service clear and avoids presenting uncertain environmental outcomes as guaranteed results.

At handover, check the items and associated components against the agreed list. Raise any question through the named contact and retain the confirmation for your records. Do not assume a particular recipient, resale value or charitable impact unless it has been established for that collection. The useful outcome is an accepted consignment passed into an agreed reuse arrangement, with honest information about what was collected.

To begin, use the collection request with clear photographs, item descriptions, the location and access details. Explain any deadline and known condition issue. National Removals can review suitability and confirm what can be arranged within the advertised area. A complete request gives the team the information needed to assess reusable goods while preserving a clear distinction between an application, an accepted appointment and any separate service the property may need.
